Vacation Rental Department Policies

 

1. Reservations - To book your reservation, please call Windermere Hood Canal, Vacation Rental Department at 1 (888) 796-3450 or email us.  Once you have made a reservation, a rental application will be mailed or emailed to you, along with a request for the first required deposit.  Your first deposit will be one half of the rental amount. This deposit must be received within 10 days to confirm your reservation. If the reservation is made within 30 days of arrival full payment must be received within 48 hours of booking. Should we not receive your payment within this time period, the home will be put back into the rental pool and your reservation automatically terminated.  

Thirty days prior to your arrival we must receive the balance due on your payment which will include sales tax and your security deposit.  Payments for rent, sales tax, and booking fee may be made by Visa, MasterCard, cashier's check, money order or in the form of personal check (if received by us more than 30 days prior to your arrival). A $200.00 to $250 security deposit (depending on the property) is payable only by personal check, cashiers check or money order and may not be made by credit card. 

 2.  Security Deposit - All rentals, regardless of length of stay, require a security deposit of $200 to $250, depending on the house. $100.00 to $150.00 of the security deposit is non-refundable and shall be used for basic cleaning expenses, the remaining $100.00 is fully refundable within fourteen (14) days following the end of your rental period, if the premises are left undamaged, all inventory intact, all financial obligations met, and home keys returned to our office or the homes key lockbox.  Renter is asked to have any furniture replaced to original location and trash must be taken outside to the garbage receptacle.

If necessary a portion of your refundable security deposit will be used for cleaning and/or trash removal if your rental home is left excessively dirty or littered, in our sole judgment. Failure to return any house keys will result in re-keying of the house for security reasons.  Re-keying expense will be charged to the renter.

3.  Occupancy - Rental property is intended to be used by the maximum specified number of persons indicated with each property description. Inclusion of additional persons beyond the specified maximum will result in a $500 charge as well as early termination of your rental period without refund of rental fees paid.

4.  Pets - PETS are NOT allowed in any of our rental properties, unless specifically noted to the contrary.  Those exceptions are noted on the individual property web page description.  Pets will be allowed in these properties only with prior approval and a signed pet addendum. Unauthorized pets will result in a $500 charge as well as early termination of your rental period without refund of rental fees paid.

 5.  Smoking - ALL of our rental homes are non-smoking.

6.  Telephone Service - Local service may be available please read the specific amenities regarding each particular home that you are interested in renting to determine availability of local telephone service. No long distance service will be provided.  
 
7.   Cancellations - If you need to cancel a confirmed reservation for any reason, no refund of previously paid reservation deposits/prepaid rents will be allowed, unless the reserved home can be rebooked for the same reservation period and price.  If we are notified of a cancellation, we will make every effort to rebook the home you have reserved, and will refund your prepaid rent amounts, based on any alternative revenue received, less a 10% service fee charged on the contracted full rent amount and booking fee.  Any such refunds will only be made once we receive the replacement reservation deposits and/or prepaid rents for your reserved booking period.  
 
8.  Cleaning Service is not provided during your stay but can be arranged at your request.  Our housekeeping staff asks if you have time, could you please start the dishwasher and put in a load of laundry, we will do the rest.  Linens and Towels are provided. There is one set of sheets for every bed and 2 towels for every person.  A washer and dryer are available if you should need to do laundry.

 9.  Damage/Maintenance Please report any damage, breakage or maintenance problems. Damages will be charged and guests are responsible financially for any and all damages they cause.  Please report them to the Windermere office 360.796-3450 or leave a note at the house. 

 10.  Septic System Please be reminded that our houses are on a septic system. It is very important that you do not flush anything down the toilet other than toilet paper. 

 11.  Possible unsuitable conditions for children may exist at the house. Please supervise your children at all times. Some of our homes are located on medium or high bluff and close to water. There may potentially slippery decks or rocks or other conditions.

12.  Arrival/Departure - Check-in is 4:00 PM. Check-out is Noon.  No exceptions unless prior arraignments have been made.
